Junior Project Coordinator – ITAM Team

Job Summary
The Project Coordinator, IT Asset Management (ITAM) will coordinate the end-to-end lifecycle of all company hardware and software assets. This position is 100% on-site and focuses on provisioning equipment for new hires, managing break-fix and return logistics, and resolving incoming IT service tickets.
The ideal candidate is a hands-on, organized professional who excels at data tracking and proactive communication and is highly motivated by continuous feedback and growth.
Key Responsibilities
New Hire Onboarding & Provisioning

Coordinate the preparation and shipping of hardware for all new employees.

Communicate proactively with hiring managers regarding the logistics and status of starting new hires.

Collaborate with HR and hiring managers to ensure equipment arrives before the employee's start date.

Ensure hardware shipments are tracked diligently and delivered on time.
Ticket & Queue Management

Monitor and triage incoming ITAM tickets related to asset requests, upgrades, and returns.

Communicate clearly and consistently with end-users regarding the status of their requests.
Asset Returns & Decommissioning

Manage the logistical coordination of asset returns from various end-users.

Process the secure disposal and recycling of decommissioned hardware according to company policy.
Vendor Relationship Management

Coordinate with third-party vendors to monitor shipment status, resolve delivery exceptions, and ensure timely communication.

Provide updated shipping information, including address corrections and other required details, to help resolve delays and delivery issues.
Data Tracking & Inventory Control

Conduct routine physical and system-based audits to maintain accurate IT asset records.

Maintain and update Smartsheet and other inventory tracking systems, ensuring data accuracy, integrity, and real-time visibility of asset status.
Qualifications & Skills
Work Environment
-
Ability to work 100% on-site; no hybrid or remote flexibility.
Technical Skills
-
Advanced proficiency in Smartsheet is strongly preferred, including the ability to design, build, and maintain Smartsheet workflow automations.

Familiarity with ServiceNow or similar ITSM ticketing tools, with the capability to track existing ITAM cases.
Experience
-
2–4 years of experience in project coordination, inventory tracking, or logistics, preferably in an IT environment.

Technical experience is not required.
Communication Skills

Strong verbal and written communication skills required.

Must be comfortable working with internal and external partners by phone, with professional follow-up through email and Teams as needed.
Note-Taking Skills

Strong note-taking skills with the ability to learn, retain information, and follow documented processes accurately.
Physical Requirements

Ability to lift and move boxes of hardware, including laptops, monitors, and peripherals, as needed to conduct physical inventory audits and manage incoming/outgoing shipments.
